Job Description – CoWorkTampa Community Manager
CoWorkTampa is a coworking environment, which caters especially to technology startups, social enterprises, non-profits, and freelance professionals. We believe magic happens when like-minded people share a space – we attract inspiring change-makers and facilitate amazing collaborations.
You will be the primary business development person responsible to make sure the space is presentable and that members are happy. You will be backed by management for guidance, but our primary mission of creating a successful coworking space and a place for like-minded people to network and collaborate belongs to you.
This is a varied role, from making sure the space is full and people are happy, to running networking events, to making sure we have enough tea and coffee in the kitchen. Our space has a big renovation under works and we’re looking for a motivated, driven individual who loves entrepreneurial endeavors.
-Help new members settle into space, e.g. show around, add to Whatsapp chat, newsletter, etc
-Work with cleaning staff to ensure the space is clean and tidy, including meeting rooms, kitchen, reception area, common spaces, and desks.
-Make sure supplies are stocked up, e.g. tea, coffee, paper, toner, cleaning products.
-Manages day-to-day business, including:
- Answering incoming calls
- Answering online queries from prospects
- Ordering supplies and maintaining inventory (paper, coffee, toner, etc)
-Maintains the business environment technology, including;
- Monitoring Internet service and calling for service if needed
- Monitoring printer (paper, toner, functionality) and other office technology such as the AV equipment in the conference rooms and event rooms
- Maintains memberships in the member database
- Oversees adding new members to conference rooms calendars
-Manage email inquiries and respond in a timely manner
-Physical walkthroughs and on boarding new members
-Bookings, invoicing, and following up for one-off event and meeting rooms rentals
-Events to facilitate networking, bonding, skill sharing etc amongst members
-Collaborate with social media manager to build the audience
-Monthly email newsletters to space users
-Informing members of special events, building repairs, etc
-Collaborate with designers and developers for website updates as required
-Keep multiple email lists up to date
-Strategize and implement appropriate marketing and promotion of
-Welcomes potential new members when they drop in; provide tours and sell the business
-Available to be “on-call” as the primary contact for the business 24/7
-Maintains a learning posture, a cheerful disposition, good interpersonal communication skills
-Maintains a strong commitment to the purpose and values of the business
-Sales experience is preferred
-Maintains absolute discretion in matters of confidentiality
-Enjoys people and facilitating relationships
-Enjoys arranging and organizing details
-Basic to intermediate proficiency in database systems, including data entry and report generation
-Proven proficiency in common computer software, including competency in Word/Pages, Excel, and web-based content management systems like Google Drive
-Openness to change is a must
-Possible use of personal cell phone for business activity
-Availability to work outside normal business hours if necessary; the Coworking Community is a 24/7 accessible environment
-A background check is required
-You will be a highly self-managed person, and excited to work in a collaborative environment. You will have good organizational skills and be able to see what needs to get done and make it happen without the need for daily guidance. You will also have excellent communication skills to interface with all key parties.
